Job Description / Responsibility
Caritas Bangladesh is inviting applications from eligible candidates (men and women) for the above position which is based at its Central Office, Dhaka.
Managing all types of tasks related to administration, documentation, resources management, procurement, logistics, Government affairs, etc.
Administration and Logistics:
Support and administer all travel related tasks of the staff and visitors like booking of tickets, arranging pickup and drop and making hotels arrangements.
Responsible for the management and coordination of Staff’s vehicle requests and maintaining vehicle related documentation.
Responsible for review of vehicle log books on a regular and on going basis.
Responsible for ensuring that the payment to the vendors is done on timely basis with proper approval from the concerned Authority.
Maintain all records, documents and files as per organization policy.
Responsible to distribute all incoming and outgoing mail/ faxes/ letters and documents of the organization.
Responsible for maintaining technical infrastructure (procurement for Printer cartridge) and arranging and repairing of equipment servicing and to ensure that the supplies are adequately procured and kept in stock.
Create and maintain the National and International Contacts lists (telephone, mobile no., e-mail and address lists) regularly.
Manage Inventory of the equipments and assets.
Responsible to organize meetings, conferences and workshops as per the request from team.
Responsible for maintaining communication with respective Section for new visitors’ arrival and fooding.
Ensure organization’s purchase policy is followed for any purchase.
Track the security updates and also the related news on strike, incidents, etc. and share it with team.
Financial Management, Travel Arrangement and Documentation:
Prepare payment request forms with all the necessary supporting documents for all the expenses (utility bill, electricity, telephone, rent, meeting expenses, supplies, stationeries, purchases, internet charges, etc) made at the country level and share it with designated finance staff for verification. Share all the verified payment request forms with necessary supporting documents with concerned Authority for approval.
Perform day to day accounts such as filing of the vouchers, maintaining an excel sheet with the account codes as per organization’s accounting policy and submit the excel sheet (soft copy) on the last day of the month to the designated finance person. Also, send the hard copy of all the vouchers by post/courier in the first week of the following month to the designated Finance Officer.
Maintain petty cash as per organization’s policy on petty cash management.
Maintain log to track the timeliness of payments and brief his/her manager on the delayed payments along with the reason.
Job location: The position is based in Dhaka but field visit at Regional, Project and Field Offices is required.
Selected candidate for the above position will be appointed initially on probation for a period of six months. Upon successful completion of the probationary period, appointment may be confirmed according to the existing pay scale and service rules of the Organization. After confirmation, long term benefits, such as provident fund, gratuity, insurance, health care and compensation scheme will be applicable.

Educational Requirements
M. Com/ MBA/MBS preferably in Management/ Accounting/ Finance from any recognized University. Sound knowledge on Bangladesh Labor Law and Government Policies shall be treated as additional qualification.

Age: 27 – 40 years (as on 31/08/2016)
Minimum 3 to 5 years’ working experiences in the similar job in any reputed organization.
Knowledge on ICT particularly on computer, internet, MS Office (Excel, Word) having skill in Bangla and English typing.
Skills in handling different administrative related matters such as office management, vehicle management, procurement and dealing with NGO Affairs Bureau and Govt. Offices.
Should be fluent in communication both in writing and speaking in English language.
Should be self driven and positive to work in a team.
Should have “can do’ attitude and able to handle multiple tasks managing priorities.
Committed to work following organizational aims, values, principal and policies.
Excellent interpersonal, organizational and communication skills.
